Events Coordinator (Project Management)
Job Description
Stevens Institute of Technology seeks an enthusiastic, detail-oriented, collaborative, and creative, Events Coordinator to serve in the Office of University Events. This position requires working in-person work schedule: Monday through Friday, 9 a.m. to 5 p.m. with weeknight and weekend hours as required.
The Events Coordinator supports a wide range of campus events, provides guidance primarily to the Stevens community including, but not limited to administrative staff, faculty, students, and external clients as they plan events and programs. The Event Coordinator oversees internal University, external and community-based events including all aspects of the planning, implementation, and administration of each event, which includes assisting with space reservations, coordinates events logistics, onsite support, and manages event inventory. The position reports to the Director of University Events but may receive assignments under the supervision of the Associate Director of University Events.
Responsibilities
Assist with the planning of assigned events including: scheduling, contracts, staffing, technology, equipment, logistics, and/or other related issues. Creates room layouts and event briefs as needed
Listens objectively and addresses problems willingly and constructively to discover practical solutions acceptable to all parties, respecting the diversity of our community in words and deeds
Assist with the annual planning and execution of the undergraduate and graduate Commencement Ceremonies and related events, other major campus events and traditions including Orientation, New Student Convocation, Family Day, Career Fairs, Admitted Students Weekend, Innovation Expo, Awards Ceremonies, Alumni Weekend, and more
Provide support primarily to students, but also faculty, staff and outside clients as they plan and implement all aspects of their events
Review and confirm space reservations and setups through the University's CourseDog software
Manage and maintain equipment used for events and room setups; maintain inventories of supplies and equipment
Respond in a timely manner to all phone calls and electronic requests for event management and support
Facilitates events on-site, ensuring that the events are cost effective and in accordance with its objectives; maintains relationships and manages the resolution of issues that may arise
Works effectively and communicates efficiently with all campus departments and personnel
Assists with the selection process of recruiting, training, and managing student staff hired to work in the department
Coordinate across campus units to ensure campus event spaces are properly maintained
Contribute to the overall success of the University and the Division of Student Affairs by performing all other duties as assigned
Qualifications
Bachelor's degree, or an equivalent combination of education/training and experience
2-3 years of events or event planning experience, higher education experience preferred
Communicate effectively and work collaboratively across units; strong customer service orientation
Acute attention to detail and commitment to high standards of service excellence
Ability to manage multiple projects in a fast-paced environment
Excellent written, verbal, communication and team building skills required, as well as knowledge of Microsoft Office; CourseDog experience preferred but not required
Innovative and analytic thinker with a focus on problem solving who is flexible and a professional team player
