Associate Registrar (College of Medicine) (Finance)
1. Manages day to day operations for COM, including yet not limited to customer service , transcripts and verifications, student records updates/changes, general petitions, residency determination, veteran certification for education benefits, term/session table setup and management, graduation certification, enrollment and degree reporting, class schedule development and classroom scheduling, curriculum management, maintaining active class rosters, data collection and aggregation for the MSPE, Tracking of student status (registration, withdrawal, LOA), maintain a catalog of all approved courses, clerkships and electives; entering and finalizing grades within UH PeopleSoft Faculty Center; and maintain the master examinee roster for NBME.
2. Coordinates with the UH Registrar and Graduate & Professional Studies Committee (GPSC) in the creation of new classes and clerkships.
3. Partners with the Registrar's Office to communicate curriculum changes and identify any issues.
4. Serves as Registrar for COM maintaining the integrity of student academic records and the data that supports them, providing access to authorized users.
5. Maintains medical student enrollment, graduation, and permanent academic records of university students within COM following professional guidelines and in accordance with FERPA and regulatory agencies.
6. Assists with collection and reporting of information for accreditation.
7. Oversees course submission and modification through UH Curriculog.
8. Ensures operational efficiency and effectiveness, including documentation of core processes, monitoring compliance and risk management, and supporting business process mapping.
9. Assists with Student Promotions and Advancement Committee documentation and filing.
10. Ensures confidentiality of student records.
11. Confirms and coordinates COM/UH calendar.
12. Performs other job-related duties as required.
MQ: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Preferred: Master's preferred. Requires a minimum of three (3) years of directly job-related experience. Preferred: A minimum of five (5) years.
