Position Summary:
The Academic Program Specialist performs specialized administrative work in support of an academic department. This position provides administrative coordination for assigned graduate programs, serving as a point of contact to students, prospective students, and faculty on matters related to course management and enrollment, program requirements, policies and procedures, and other administrative matters.Minimum Qualifications:
This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.The University of South Florida is a high-impact global research university dedicated to student success. - Student Services: Process course permits, petitions, and transfers. Assist students with all university and department policies and procedures. Maintain student files and records. Manage graduate and academic processes, including graduation certifications.
- Course Management: Process course schedule. Enter information into BANNER/OASIS student database system. Coordinate textbook orders with USF Bookstore. Assist with typing, printing, and copying of syllabi. Assign faculty and graduate assistant efforts. Monitor enrollment levels.
- Scholarships and Tuition Waivers: Process scholarship payment requests for graduate awardees and semester tuition waivers for graduate assistants.
- Other General/Office Support: Act as receptionist/secretarial support. Maintain department space calendars. Maintain the web page. Responsible for preparing, sorting, and distributing mail.
- Performs other administrative duties as assigned in support of the academic mission of the department.
