Catering and Events Coordinator - Waldorf Astoria Chicago (Finance)

Waldorf Astoria is looking for a Catering and Events Coordinator to join the team in Chicago's Gold Coast!

Reminiscent of the grand Parisian hotels of the 1920s, this luxury hotel features 215 rooms, over 5,000 square feet of meeting space and 4 food and beverage outlets. This role is Monday - Friday between 9:00am-5:30pm.

The hourly rate is $23-$24 and is based on applicable and specialized experience and location.

What will I be doing?

As a Catering & Events Coordinator, you would be responsible for providing office support in the hotel's continuing effort to deliver outstanding guest service and financial profitability. Specifically, you would be responsible for performing the following tasks to the highest standards:

• Oversees all aspects of service for (weddings, social functions, etc.) groups.
• Reviews group files and communicates with various departments to prepare for group visits.
• Conducts site visits/inspections, monitors group room pick-up, tracks and manages client accounts (i.e. sends invoices, notifies Finance of payments, informs clients of overdue payments, etc.)
• Creating turnovers and assisting with set up of payments for our events
• Helping assists with our 515 reports via Delphi FDC
• Creates 14 day forecast and manages the BEO Binder and does daily distribution of BEO's and Resumes
• Follows-up with Waldorf in-house groups regarding service, and documents client contact for future reference and follow-up.
• Greet and assist guests and respond to requests in a timely, friendly and efficient manner.
• Perform word-processing, typing, e-mailing, data-entry, filing, copying, processing mail and taking notes and/or dictation.
• Answer telephones, schedule team members.
• Coordinate department projects, as needed.
• Oversee maintenance of office equipment
• Track Guest Comment Cards and feedback.
• Track HH points for our guests and applying based on event usage after event is closed.
• Perform other general office duties and assist with special projects, as needed.
• Handle Room Blocks for offsite wedding and create resume and attend resume meeting
• Attend pick up reports
• Creating BEO's as needed, depending on business demands and Waldorf In House events.
